The purpose of the Administrative Assistant is to perform receptionist and general office duties, as well special assignments for the Director of Operations. 

The position functions under the general supervision of the Director of Operations.



General Office Duties

Answer phones, prioritize and route calls as appropriate

Perform general clerical duties to include but not limited to correspondence, making copies, faxing, filing and mail processing

Read, research and prepare reports regarding programs and issues of the Director’s office as assigned

Assist with data entry as needed and assigned

Assist with management of the office general calendar, and schedule appointments as needed

Manage the Director’s calendar and schedule appointments as needed

Make travel arrangements and hotel reservations, including preparing requisitions as assigned

Schedule conference rooms and equipment

Manage a list of needed supplies for the office

Other general office duties as needed and assigned

Represent Northwest Missouri Area Agency on Aging in a positive manner with prospective, former and current contractors, partners, employees, other

   organizations, clients and the general public.  Interact effectively and in a highly-professional manner with a diverse group of organizations, governmental

   representatives, communities, professionals, clients and employees

Support and uphold the mission statement, principles and policies of the Northwest Missouri Area Agency on Aging

Handle confidential information with tact, discretion and in compliance with applicable HIPAA regulations and requirements


Other Duties

Assist with disasters per the Agency’s disaster plan and as assigned

Internal control and monitoring functions as assigned

Perform other functions and duties as assigned


Degree and/or experience as an administrative assistant preferred; however, high school diploma, and some post-secondary education in related field

Secretarial training, and/or comparable work experience will be considered
